GP IT auto registration functionality

NHS England now offers an auto registration feature for SystmOne practices. Find out what this means for GP practices and their staff.

Auto registration integrates the Register with a GP surgery service with your surgery's clinical systems. 

This will reduce the amount of time it takes to register a patient at GP surgeries. A pilot started in spring 2025 with a small number of surgeries using SystmOne from TPP. This functionality is now available to all SystmOne users via NHS Profile Manager.

Information for Optum (formerly EMIS) users

Some EMIS practices are running a pilot of auto registration functionality. NHS England will provide more information after the pilot has finished.


How auto registration functionality works

Data from a small group of patients using the Register with a GP surgery service will be transferred automatically into your clinical systems. This will create a new record for the patient. 

You will not need to use your existing manual process for these patients.

You will see automated registrations in your Open Tasks list. You can then review the new patient record.


Patient criteria for auto registration

These patients have the highest level of identity verification. They will: 

  • be over 18 years old 
  • use NHS login 
  • be in the practice catchment area
  • be transferring from another GP surgery
  • not have a sensitive marker or Special Allocation Scheme (SAS) flag on their patient record
  • not have an immediate or 8-day removal code on their patient record

All other patients should be handled using your existing processes for registrations.

What you still need to do for new patients

You still need to review patient information that is transferred into your clinical systems. However, this will take less time for patients who meet the criteria. This is because a record will already be created in your clinical systems.

You can also search for a new patient's record using the patient's name and NHS number.

Information you still need to review

Some data items will still need to be reviewed and updated, including:

  • emergency contact
  • next of kin
  • BMI
  • Armed Forces status
  • any comments a patient has made as part of a health question response (for example, pre-existing conditions)

Managing your GP settings

Check that Default GP for patients registered via third party is set. You can find this under Organisation Preferences > Registrations > Registered GPs.

Once you set these preferences, make sure that the staff profile has both a GMC number and a GP local code. You can do this by amending the profile in Staff & Organisation Setup on the Global and Local settings tabs.

Changing the named GP

​In SystmOne, you can change the named GP in the Record section using the Named GP template. 

Creating a new tasks rule

You can change your settings in SystmOne to manage auto registrations:

  1. Go to Organisation Preferences.
  2. In the Tasks section, select Rules.
  3. Select New Rule, then select For each task with a type of 'Automatic Registration'.
  4. Select OK.
  5. In the Task Rule pop-up window, select New Tasks of a particular type.
  6. In the drop-down menu, choose Automatic Registration.
  7. Select Assign to a team. You can search for and choose the team in your practice that handles registrations.
  8. Select Do not process any further rules, then select Ok.

You can move the new rule into any place in the Task rules list that works for your organisation. Use the arrows in the Task Rule pop-up window to change the order in which rules appear.

Rejecting a registration

You will not be able to reject a registration that is transferred to your clinical systems. You should follow your standard practice procedures for removing them.

Special Allocation Scheme (SAS) patients

Patients with a SAS flag on their record will be blocked from auto registration by Primary Care Registration Management (PCRM). They will appear in your task list as rejected.


Blocking patients from auto registration

Patients will not be auto registered at your practice if they have:​

· previously been registered at your practice​

and have:​

· an immediate or 8-day removal code on their patient record

30-day removals are not included in this criteria.

If the patient meets these criteria, they will not be auto registered at your practice. You will get a patient registration email, which you can review using your existing manual processes.​

How to sign up for auto registration

NHS England and TPP have chosen an opt-in approach to auto registration. This is based on feedback from practices, who have said that they want to ensure that they remain in control of registrations.​

How to turn on auto registration in NHS Profile Manager​

  • Sign in to NHS Profile Manager. ​
  • Go to your Surgery settings page.​
  • Select auto registration.​
  • Select yes to turn on auto registration.

If your surgery already uses robotic process automation (RPA)

Any registrations that meet the criteria for auto registration will be processed that way. Any other registrations will be processed by the ​automated registration provider you currently use

Any additional information that you collect through an RPA provider, such as a local health form, will not be affected by auto registration.
