Manage patient registrations (MPR)

Manage patient registrations (MPR) is a new feature that helps reduce admin burden around processing registrations. Find out more about how it works.

What Manage patient registrations does

Manage patient registrations (MPR) is a new service from NHS England. 

The service is a portal that lets you:

  • view incoming patient registrations
  • review the information a patient gave in the online form
  • approve or reject patients
  • view details of patients you approved or rejected in the last 90 days 

It will create a record for the patient in your clinical systems if you accept their registration.

Benefits of using Manage patient registrations

Using the service could:

  • help decrease administrative burden in your practice
  • streamline your registration processes for some patients

 


Patient types

Patients will have fully proved their identity in the same way that they do for the NHS App.

This means they will have completed an online or offline journey to prove who they are.

Patient criteria

Patients must:

  • be applying from within your catchment area
  • be aged 16 or older
  • have proved their identity to the NHS
  • not be transferring from Scotland or Northern Ireland

Patients who were previously registered at your practice may also come through Manage patient registrations if they meet these criteria.

All other registrations that do not meet the criteria for Manage patient registrations or auto registration from NHS England should be handled using your standard registration processes.


How to access the service

You will need to log into the MPR service using CIS2 Authentication

This is what you normally use to log into GP systems as part of your work. You can use your Smartcard to log in if you have one.

Other ways to log in

In addition to using a Smartcard to log in, you could also use:

  • CIS2 iPad App
  • Windows Hello
  • Security keys / FIDO token

Activity roles

You must have the following activity role, which is set by the Registration Authority Manager within the Care Identify Management Service:

  • B0340 - Register Patients

If you do not have this activity role on your Smartcard, you will not be able to use Manage patient registrations. You will need to contact your registration authority manager. Speak to your practice manager if you are unsure about who this is.

You can find your registration authority if you do not know it.

Roles that already have this activity code

You will have this activity role as part of your job if you have one of the following roles:

You may need 1 of these 3 activity roles as well:

  • B0835 Manage Patient Demographics
  • B8009 Register Patient with Primary Care Provider on PDS
  • B0830 Perform Patient Demographics

Approving or rejecting patients

Approving a patient

The registration will automatically be accepted once you approve a patient. A record will be created in your local clinical system and should appear in about 10 minutes. This includes GP Links and SNOMED encoding. 

A PDF of the patient responses will also be attached to the record.

Rejecting a patient

The registration will not be processed. You will be asked to choose a reason for rejecting the registration. These reasons align with NHS England policy and legislation.

The service does not tell the patient if they have been rejected from your practice.  You will need to follow your existing practice processes. This includes contacting the patient and telling them the reason you have rejected their application.


Viewing approved or rejected registrations

You will able to see registrations you approved or rejected in the last 90 days. 

Approved registrations

Approved registrations will show:

  • who approved the registration
  • when it was approved
  • details of the patient's registration application, contact details and home address

Rejected registrations

Rejected registrations will show:

  • who rejected the registration
  • when it was rejected
  • the reason for rejecting the registration
  • details of the patient's registration application, contact details and home address

Information for branch sites of parent practices

Both parent and branch sites can use Manage patient registrations. If you are a parent practice, you will be able to see registrations from branch sites in MPR. The patient details page will show the name and the postcode of the branch surgery they registered with.

If you are a branch practice, you will be able to see registrations in MPR as well. You will also get a daily summary email if you have set up a shared mailbox for the Register with a GP surgery service.


If you use auto registration from NHS England or Healthtech-1

You will not see auto registered patients in Manage patient registrations. These patients will have records created for them in your local clinical system. You will get a SystmOne notification.

If you use Healthtech-1

You can use Healthtech-1 at same time as this service. 

However, any registrations that meet the criteria for Manage Patient Registrations or auto registration will be handled by these services instead of Healthtech-1.

If a patient does not meet the criteria for Manage patient registrations or auto registration, their registration can be processed by Healthtech-1.


Patient registration emails

You will not get an email if the patient meets the criteria for:

  • Manage patient registrations
  • auto registration

You will still get a patient registration email for all other registration applications. 


Patients with SAS flags or removals

Patients who are on the Special Allocations Scheme, or who have an immediate or 8-day removal on their record, could potentially come into Manage patient registrations if they meet the criteria. You can review and then choose to either approve or reject these patients.

If you need to stop using the service, you will need to contact us
