Outputs and results overview
This section explains what happens after you submit a cohort file, including validation checks, how errors are handled and what summary information you’ll receive once your file is successfully processed.
What happens after you submit your cohort file
The following steps outline what will happen after you submit your cohort file and how to address any issues that may arise during validation and matching:
- once you submit your cohort file submission, the file will be validated before the matching process then commences
- if the file fails any checks, you will receive an email advising of the failures and directing you to the submitter’s SEFT account to view the associated error file named Cohort-Data-Validation-Errors
- if you are submitting a new cohort if this is the first submission then you will only be able to rectify any anomalies on the same day
- If you are updating your cohort, then you may have additional time to rectify any anomalies; this will depend on when you action the update your cohort email
- check for outstanding validation errors in the error tab of the summary file. You can correct those records and re-submit another file
- after your file has been successfully validated and participants have been matched; you will receive a link directing you to download a Cohort-Data-Summary-File. This file will provide you with key information about the submission
We allow up to 2% of participants to fail validation checks for the file to continue to the matching stage. If, however, more than 2% of participants fail validation then the whole file will be rejected. You will need to rectify the errors and submit a new file.
